Fireflies.ai Review: The Meeting Notetaker That Actually Earns Its Seat

Most teams we know have the same problem: meetings happen, decisions get made, and by Friday nobody can remember what was agreed. Fireflies.ai is one of the more popular attempts to fix that with AI — it joins your calls, writes down what was said, and hands you a summary you can actually search. We ran it across Zoom, Google Meet, and Microsoft Teams for a full month to see if it holds up in real work.

What Fireflies.ai actually does

Fireflies is an AI notetaker that connects to your calendar and your conferencing tools. Once set up, it can auto-join scheduled meetings as a silent bot, transcribe the conversation in near real time, and generate a summary with action items, key topics, and a searchable transcript. You can also upload audio or video files directly. The standout feature is "Ask Fred" — a chat box you can query against any meeting ("what did we decide about the Q3 budget?") the way you'd query ChatGPT with context. Higher tiers push transcripts into Salesforce, HubSpot, and a handful of other CRMs automatically.

What worked well

Transcription is genuinely good. In clear audio with one or two speakers, accuracy landed in the high-90s percent range. Even with six people and a noisy room, the transcript was readable enough to act on. This is the core promise, and Fireflies keeps it better than the free built-in options in most conferencing apps.

The summaries save the most time. After every call we got a clean recap: decisions, owners, and follow-ups. Our project manager stopped taking manual notes entirely and just skimmed the Fireflies recap. For a team carrying 15–20 meetings a week, that alone justified the seat.

Search across every meeting is underrated. Being able to type "when did we agree to ship the redesign?" and get the exact moment across two months of calls is the kind of thing you don't miss until you have it. It quietly replaced a lot of "can someone recap?" messages in our Slack.

The free tier is usable. You get around 800 minutes a month on Free, which is enough to trial it on your real meetings before paying.

What didn't work

Summaries depend on audio quality. When someone used a laptop mic in an echoey room, the action items got fuzzy. Garbage in, garbage summary — there's no magic here.

It can feel intrusive. A bot joining every call unsettles some clients and teammates, especially external ones who didn't opt in. We ended up disabling auto-join for external calls and only recording internal standups.

Storage and history are gated by plan. The Free and lower paid tiers limit how far back your searchable archive goes. If you want a permanent, queryable record of every meeting, you'll need a higher tier — and that's where per-seat costs add up.

Occasional missed joins. Maybe once every ten meetings the bot didn't show up. Not catastrophic, but enough that we didn't fully trust it for can't-miss calls.

The pricing reality

Fireflies uses per-seat monthly pricing: Free (~800 min), Pro at $10/seat/month, Business at $19/seat/month, and Enterprise on custom terms. For a five-person team on Business, that's ~$95/month. The math is simple — if Fireflies saves each person more than ~20 minutes a week of note-taking and recap-chasing, it pays for itself. For most meeting-heavy teams we tested with, it cleared that bar.

Who should actually use it

Verdict: Buy. For a meeting-heavy team, Fireflies.ai is the rare AI tool that removes a real, recurring tax on your week. Start on the Free tier, then move to Pro once you've felt the search-and-summary pull. Just be deliberate about which calls the bot joins.
